A reader lately discovered one in all my Gmail quick tip articles on label use and despatched on this query as a follow-up:

Am I duplicating messages by saving them in a number of locations? I’m nervous that I’ll fill up my Gmail field, use up all my area, and must pay for extra. How can I see the scale of my email field to search out out if I’ve stuffed it up?

Dear Reader’s, query about dimension has a fast reply. Google makes it surprisingly simple to learn how a lot area you are utilizing in Gmail.

Just scroll right down to the underside of your email field, and there is a good little one-entry bar chart. I’m utilizing a bit of beneath 30% of my 100GB allocation on this account. I pay a couple of dollars a month for extra email storage. If it’s good to improve your storage, you are able to do so by clicking here and paying a small month-to-month price.

If you hit the little page-open icon subsequent to the chart, you may see Google One’s storage web page. Since that is my private account, there’s not a lot in essential storage (I use the company account for that). But you may see how your storage breaks down.

How labels work

Dear Reader’s different query needed to do with saving messages in a number of locations. Technically, Gmail would not ever save messages in a number of locations. It merely tags messages with label indexes. When you look in what seems to be a folder, it is doing a wise search to indicate you the messages that match the label index.

But what does that every one imply?

Most person interfaces use two basic methods to characterize organized storage: folders and tags.

Folders maintain recordsdata or information objects. Generally, you may solely transfer a given file into one folder. Different programs use totally different inside architectures for this. Some really transfer the info, whereas others assign an ID to the file or folder and use indexes. But, from a person’s perspective, it is one folder per file (though most programs normally enable folders to be inside different folders).

While a given file can solely be in a single folder, any given file can have a number of tags or many various tags. Think of tags as traits or properties.

A automobile, for instance, could be ‘blue’, have ‘four-doors’, and have ‘8-cylinders’. But you may solely park the automobile in a single parking area at a time. So whereas it may very well be parked in ‘the-garage’, ‘on-the-street’, or ‘outside-the-hardware-store’, it may’t be in all three without delay. ‘Blue’, ‘four-doors’, and ‘8-cylinders’ can be tags. ‘The-garage’, ‘on-the-street’, or ‘outside-the-hardware-store’ can be folders.

Depending on what software program you are utilizing, you may see folders, directories, or classes used for a similar factor. Likewise, you may see tags and labels typically used interchangeably. When Gmail talks about labels, they’re actually simply tagging messages.

This is understandably complicated as a result of the sidebar of Gmail presents labels as in the event that they’re folders. You may even nest labels, which makes it seem like you are placing a folder inside a folder. But they’re simply tags.

This is especially complicated to former Outlook customers as a result of these folders on the sidebar had been really folders, and if you happen to put a message in two folders, you had been duplicating the message. That’s completely not the case with Gmail.

I robotically label my emails after they come from my crew, after they’re hooked up to a given venture, and extra. Sometimes, I’ve two or three labels for a given email. I may have extra, however I attempt to restrict the variety of labels simply because issues begin to get extreme after two or three.

All that brings us again to Dear Reader’s concern about rising mailbox area with a number of labels. Other than just a few bytes for the label’s index, there isn’t any improve in area if you happen to put messages in a number of labels (even when it looks like you are placing one thing in a couple of folder). It would not matter whether or not you could have a bit of 24KB message or an enormous 25MB PowerPoint presentation, it would not matter. Multiple labels will not improve your area utilization.
